Terms and Conditions of Service

 

 

By booking service online using our Booking Tool, you agree to the following Terms and Conditions of Service.

 

Bookings made over the phone, via text, or by email require digital acceptance of these Terms & Conditions through the “Confirm Service Now” link provided in the confirmation email. Acceptance must occur within 24 hours if the service date is 7 or more days from the booking date, or by the end of the same business day if the service is scheduled in less than 7 days. Failure to confirm will result in cancellation of the service, and the 50% non-refundable deposit will become a cancellation fee. No exceptions.

 

 

Single & Initial Service

 

 

All single and initial cleans are timed and billed hourly at the current posted rate of $60 per labor hour. A labor hour is defined as one (1) hour of labor performed by one (1) person. Therefore, a team of two (2) working for one (1) hour equals two (2) labor hours.

 

The base rate quoted is an estimate based on the number of labor hours anticipated. Since homes are quoted sight unseen, your one-time, initial, move-out, or move-in service may require more or less time than estimated. If additional time is required, we will contact you during the service at the phone number you provided. Please keep your phone accessible. If we cannot reach you, we will assume approval for any additional time. Should the service take less time than estimated, your base rate will be adjusted accordingly. Load and unload time is included in the billable hours.

 

If additional time is needed and not approved, the team will complete as much as possible within the originally scheduled time and will inform you of any tasks left incomplete.

 

 

General Exclusions

 

 

Our teams are not permitted to move refrigerators or ranges; they will not clean behind these appliances unless moved by the homeowner. The following are not included in any service scope:

 

  • Mold or mildew remediation

  • Hard water scale buildup removal

  • Wall washing

  • Disassembling and washing light fixtures or chandeliers

  • Window screen removal and cleaning

  • Laundry services

  • Interior cleaning of laundry appliances

  • Window track cleaning

  • Window removal

  • Cleaning unfinished concrete floors

  • Hoarding situations

  • Heavy organizing, sorting, or decluttering

  • Scrubbing floor grout

  • Any restoration work

 

 

Supplies

Eco-Jan Cleaning Services provides all necessary products and professional-grade cleaning equipment, including a 4-stage filtration vacuum.

We do not use traditional chemical cleaning products. Our teams clean exclusively with eco-friendly, non-toxic cleaning solutions.

If a customer specifically requests the use of chemical cleaning products or bleach, they must provide the products themselves and make the request known to the office prior to the cleaning.

For liability reasons, teams cannot use customer-supplied products or equipment unless pre-approved by the office.

We do not provide trash liners.

Deposits

 

 

All deposits are non-refundable and non-transferable. A 50% deposit is required to secure any single or initial service, applied toward your final invoice. Deposits may be carried over once to a new date if:

 

  • The new date is within 4 weeks of the original.

  • The request is made at least 7 days prior to the original date.

  • There is schedule availability.

 

 

 

Promo Codes

 

 

Only one discount or promo code may be used per booking. Discount codes may not be reused at the same address, but may be shared with friends or family. Discounts cannot be combined with other offers, credits, or promotional pricing.

 

 

Pests

 

 

We do not service homes with a history of bedbug activity within the past 12 months. We also do not clean homes with rodent feces, rodent activity, or insect infestations. If pest activity is discovered during service, the team will leave immediately, and a charge of 50% of your budgeted service plus a decontamination fee (up to $250) will apply.

 

 

Flat Rate Recurring Services

 

 

After the initial clean, recurring services are offered at a fixed rate based on frequency and quoted room specifications. Cleaning of any additional areas not included in the original quote must be arranged through the office. Teams cannot modify the work order without management approval.

 

If recurring service is frequently rescheduled, we may discontinue discount pricing. Forgoing areas listed in the quote does not alter the flat rate.

 

 

Rescheduling Recurring Service

 

 

  • Rescheduling must occur within 5 days of the original date.

  • Requests must be received at least one full business day prior.

  • Rescheduling is subject to availability.

 

 

 

Team Assignments

 

 

We strive to assign the same team for recurring services whenever possible, but cannot guarantee it due to scheduling changes.

 

 

Health & Safety

 

 

  • Teams will not move heavy items unless liftable with one hand.

  • Cleaning is limited to areas reachable with a two-step ladder or pole duster.

  • Teams are prohibited from climbing counters or using client ladders.

  • Staff must wear clean, non-marking shoes indoors.

  • We do not clean bodily fluids or litter boxes.

  • A smoke-free environment is required during service.

 

 

 

Arrival Times

 

 

  • Flexibility is required; arrival is typically between 8:30 AM – 4:00 PM.

  • If scheduled first, arrival time is guaranteed.

  • Time windows are estimates and subject to change.

  • Lockout Policy: If access is denied at arrival, full service charges apply.

 

 

 

Customized Reminders

 

 

Available through your Client Portal.

 

 

Weather Policy

 

 

Services may be canceled if unsafe travel conditions exist. Snow Day notifications will be sent by 8:30 AM. Rescheduling is based on availability.

 

 

Cancellation & Skip Fee

 

 

  • Cancellation notice required: one full business day.

  • Late Cancellation Fee: $100.

  • Same-day cancellations/lockouts: 100% service charge.

  • Skipped service: $45 fee.

 

 

 

Lockout Policy

 

 

If access is denied upon arrival, 100% of the service charge applies.

 

 

Right of Refusal

 

 

eco-jan clean reserves the right to refuse any job.

 

 

Rate Changes

 

 

Rates are subject to periodic review and adjustment. Clients will be contacted regarding any changes.

 

 

Tipping

 

 

Tipping is appreciated but not required. Tips can be added via the Job Scorecard, through the office, or left clearly marked for staff.

 

 

Payment

 

 

Payment is due at the time of service. We accept most major credit cards. Billing inquiries should be directed to the office.

 

 

Collections Fee

 

 

Late payments over 30 days are sent to collections, incurring a $30 collections fee every 30 days. Discount codes do not apply to collections debt.

 

 

Holidays

 

 

eco-jan clean is closed on the following holidays:

 

  • New Year’s Day

  • Good Friday

  • Victoria Day

  • Canada Day

  • Civic Holiday

  • Labour Day

  • Truth & Reconciliation Day

  • Thanksgiving Day

  • Remembrance Day

  • Christmas Day

 

 

Services scheduled on holidays will be automatically rescheduled.

 

 

Quality Control

 

 

We monitor service quality through a brief email survey sent after each cleaning. Please notify us within 24 hours of any service concerns so we may promptly address them. Refunds for services rendered are not offered.

 

 

Breakage/Damage

 

 

Teams report any breakage or damage immediately. Clients must submit any unreported damage claims within 48 hours of service via email to sales@ecojanclean.com, including:

 

  • Description of the damage

  • Fair market value

  • Photos of the damage

 

 

Claims made after 48 hours cannot be processed.

 

 

Non-Solicitation Agreement

 

 

Clients agree not to solicit employment from eco-jan clean employees during service and for 12 months afterward. Violations will result in a $2,500 Recruitment and Training fee.
